2. Our Roles: Data Controller vs. Data Processor

Depending on the data being processed, SadaPOS acts as either a Data Controller or a Data Processor under applicable global privacy laws (such as the GDPR).

  • Data Controller: We are the Controller for the information you provide to create and manage your SadaPOS Merchant account (e.g., your name, email, billing details).
  • Data Processor: We act as a Processor for the data you input into the SadaPOS system regarding your business operations, including your Consumers' data, employee details, and supplier information. As a Merchant, you are solely responsible for ensuring you have the legal right to collect and process this data.

3. Information We Collect

We collect various types of information to provide and optimize our Services:

  • Account & Profile Information: First and last name, email address, phone number, business name, and location preferences.
  • Operational & Business Data: Information you upload to manage your business, including product inventories, IMEI numbers, warranty claims, pricing, supplier ledgers, expense categories, and daily cash closings.
  • Consumer Information: Data regarding your customers (e.g., walk-in customers or registered buyers), including their names, contact details, purchase history, and credit/debt balances.
  • Payment Information: Billing details required for your SadaPOS subscription. We do not store your credit card or full payment details on our servers; all payment transactions are processed securely by our Merchant of Record, Paddle.
  • Technical & Device Data: IP addresses, browser types, operating systems, device identifiers, and access logs collected automatically when you interact with our Services.

4. Local Storage & Cloud Synchronization

To provide a seamless, uninterrupted experience, SadaPOS utilizes an "offline-first" architecture.

  • Local Processing: When you use our Services, your operational data is initially processed and stored securely on your local device's browser or application storage.
  • Cloud Synchronization: When an internet connection is available, this locally stored data is encrypted and synchronized with our secure, enterprise-grade cloud infrastructure. We do not sell or monetize this synchronized operational data; it is strictly maintained to provide you with cross-device access and data backup. IMEI and serial numbers uploaded by the Merchant are considered 'Business Data' and remain the sole property of the Merchant.

5. How We Use Your Information

We use the collected information for the following business and commercial purposes:

  • To provide, operate, and maintain the Services (including real-time inventory and sales tracking).
  • To process your transactions and send related information, including confirmations and invoices.
  • To calculate business analytics, such as profit and loss summaries, and generate historical reports.
  • To manage your account, provide customer support, and respond to your requests.
  • To send administrative messages, technical notices, security alerts, and updates.
  • To detect, investigate, and prevent fraudulent transactions, unauthorized access, and other illegal activities.

6. Legal Basis for Processing

  • Contractual Necessity: To fulfill our Terms of Service and provide the SadaPOS platform to you.
  • Legitimate Interests: To improve our Services, ensure security, and market our products (provided these interests are not overridden by your data protection rights).

These providers are bound by strict confidentiality agreements. Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
  • Legal Compliance: We may disclose your information if required to do so by law, subpoena, or other legal processes, or to protect the rights, property, and safety of SadaPOS, our users, or the public.
  • Business Transfers: In the event of a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership.

SadaPOS operates globally. Your information may be transferred to, stored, and processed in countries other than your country of residence, where our secure cloud servers are located. We ensure that appropriate safeguards, such as Standard Contractual Clauses (SCCs), are in place to protect your data during international transfers.

We implement robust technical and organizational measures to protect your data against unauthorized access, loss, or alteration. All data transmitted between your device and our cloud infrastructure is encrypted using industry-standard TLS (HTTPS) protocols. We do not store sensitive payment card data. In the event of a data breach, we will notify affected users within 72 hours of becoming aware of the incident.

If you close your SadaPOS account, we will delete or anonymize your data within 60 days, except where we are legally obligated to retain it for tax or regulatory purposes.

  • Payment Information: Our order process is conducted by our online reseller Paddle.com. Paddle is the Merchant of Record for all our orders. They collect and process your payment card details securely. SadaPOS does not store your full credit card information on its servers.
